How we handle your information

OptSpot Freedom Summit 2027 · Last updated September 2026

Who we are

This site is operated by OptSpot, LLC, a marketing company serving car wash operators. The Freedom Summit is our annual owner event. Questions about this policy can go to bre@optspot.com.

What we collect

When you register, we collect what you fill in on the form:

  • Name, email address, and phone number for each attendee
  • Car wash business name
  • Role and shirt size
  • Dietary restrictions
  • Golf tournament preference and club rental selection
  • Whether you're bringing a spouse, partner, or kids
  • Your IP address and browser at the time of checkout (for SMS consent records)

We don't collect payment card details. That's handled entirely by Stripe and never touches our servers. We do receive a confirmation from Stripe after your payment completes, including the amount and a session identifier.

How we use it

Running the event

Your information goes to our internal team so we can confirm your registration, coordinate headcount, dietary and golf logistics, and get you the room block and schedule details.

Summit communications

We'll email you a confirmation immediately after checkout, and follow up with logistics as the event gets closer. If you gave SMS consent at registration, we'll also text you venue details, schedule changes, and day-of updates.

OptSpot account

We'll tag your email in our Drip account as a Summit registrant. This connects your registration to any existing OptSpot client record or marketing list you're already on. It doesn't create a new marketing relationship -- it updates the one that already exists or creates a single record tied to this event.

Who we share it with

We don't sell your data. We share only what's necessary to run the event:

  • Stripe — processes your payment. Stripe's privacy policy.
  • Drip — our email marketing platform. Your name, email, and registration details are stored there so we can send Summit communications.
  • iVision Mobile — our SMS platform. If you opted in to text messages, your phone number is sent to iVision to enroll you in the Summit text list.
  • Google Sheets — we write your registration to a private internal spreadsheet used by the OptSpot team to manage event logistics. It isn't shared publicly.
  • Resend — delivers your confirmation email and our internal notifications. Your email address is passed through their service to send the message.

We may also share information if required by law, or to protect the rights and safety of OptSpot or others.

How we store it

During checkout, your registration is held temporarily in Cloudflare's KV storage while your payment processes. Once Stripe confirms the payment, we mark the registration as paid and it stays in KV indefinitely so we have a record.

The permanent record lives in our internal Google Sheet and in Drip. We keep it for as long as we need it to manage the event and related follow-up.

Cookies and tracking

This site doesn't use analytics scripts, ad trackers, or marketing pixels. Cloudflare may log basic request data (IP, browser, pages visited) as part of serving and protecting the site. We don't have access to individual-level Cloudflare logs in the normal course of operations.

Your rights

You can ask us what we have on you, ask us to correct it, or ask us to delete it. Email bre@optspot.com. If you've opted in to text messages, reply STOP to any message to stop them immediately.

Deleting your data after the event has already occurred may not be possible in all cases -- for example, payment records we're required to retain for accounting purposes. We'll tell you what we can and can't remove.

Changes to this policy

If we make material changes, we'll update the date at the top and, if the changes affect how we use data we've already collected, we'll email registered attendees.
